Following these prerequisites is crucial for successful data import. Skipping any step may result in import errors or data corruption. Take time to review each point carefully.
Step-by-Step Instructions for Preparing Your Sales / Sales Return Excel File
Place Data in the First Sheet
Ensure all sales data is entered in the first sheet of your Excel file.
Use Headers in the First Row
The top row must contain column headers such as Date, Invoice Number, Amount, etc.
Keep Column Titles Clean
Avoid using special characters (e.g., ., $) in headers. Do not add extra text above column names.
Invoice Number is Mandatory
Every row must have an invoice number. Empty invoice numbers are not allowed.
Group Items by Invoice Number
If multiple items belong to the same invoice, sort the sheet by Invoice Number (A–Z) to keep them together.
Do Not Use "NA" or "None"
If a field doesn't apply (e.g., GST), leave it blank. Do not type "NA" or "Not Applicable".
Follow Correct Date Format (DD/MM/YYYY)
Example: 27/05/1992 → Day/Month/Year.
Correct: 27/05/1992
Format: DD/MM/YYYY
Remove Extra Rows
Delete rows containing Grand Totals, Notes, or any data not required for Tally import.
Limit File Size
Add a maximum of 10,000 rows per sheet for smooth processing.
Add a Ledger Column
Include a column for Sales Ledger / Purchase Ledger based on GST rate.
Create GST Ledgers in Tally
Ensure CGST, SGST, and IGST ledgers are already created under Duties & Taxes in Tally.
Apply Proper Data Formatting
Use Text or General format for text-based columns. Use Number format for numeric values (Amount, Rate, Quantity, etc.).

Add a 'Particulars' Column
This column should capture the Sales Account Ledger based on GST rate. Example: For GST 18%, enter the ledger name linked to 18% Sales.

Save in Excel Workbook Format (.xlsx)
After preparing the file, save it as Excel Workbook (.xlsx).
